NOTICE OF PERSONAL DATA PROCESSING

Novo Nordisk A/S is required by law to protect your personal data. This Notice explains how we process (e.g. collect, use, store, and share) your personal data in connection with your application for a position in the Novo Nordisk Graduate Programme. We will process any personal data about you in accordance with this Notice and with applicable law.

1. WHO ARE WE?

    2. HOW DO WE COLLECT PERSONAL DATA ABOUT YOU?

      We get your personal data from the following sources: 

      • From you directly
      • From vendors or consultants (CompanYoung A/S)

      3. WHY DO WE PROCESS YOUR PERSONAL DATA?

        We process personal data about you for the following purposes: 

        • to pursue our legitimate interest in attracting, recruiting and retaining talents who have the potential to grow into key positions in the future. 
        • to carry out measures at the request of you prior to the conclusion of any graduate contract.

        You are not required to provide us with your personal data. However, if you do not provide your personal data, we will not be able to handle your job application for the Novo Nordisk Graduate Programme and you will therefore not be able to participate in the Graduate recruitment process.

        4. WHAT PERSONAL DATA DO WE PROCESS ABOUT YOU?

          For the purposes described above in Section 3, we may process the following types of personal data: 

          • Contact information (full name, address, telephone number, email address); 
          • Personal information (nationality, country of residence, preferred characteristics in others)
          • Authentication data and pseudonymous identifiers (user data and ID number)
          • HR and recruitment data (labels, forms, rating, international experience, work experience, CV, transcripts, motivation letter (work related questions), mobility (willingness to relocate), achievements, participation in Novo Nordisk Graduate Programme Career Fair/events, earlier interaction with Novo Nordisk)
          • Educational data (international experience, educational background, university/universities, report cards (grades), fields of studies/specialization, educational dates and years, highest degree achieved)

          Novo Nordisk is an equal opportunity employer and makes all employment-related decisions entirely on merit and qualifications. Consequently, you should only include information relevant for the review of your application and not include information about your race or ethnic origin, religion or belief, political opinion or sexual orientation or your union memberships. Please do also not include your social security number.

          When submitting your application to Novo Nordisk, you certify that all your personal information entered in the application process and system is true and correct and understand that dishonesty will disqualify you from consideration for employment within Novo Nordisk.

          5. WHY ARE WE ALLOWED BY LAW TO PROCESS YOUR PERSONAL DATA?

            Our processing of your personal data requires a legal basis. By law, we are allowed to process your personal data described above in Section 4 based on the following legal bases: 

            • The processing is necessary for our legitimate interests in attracting, recruiting and retaining talents who have the potential to grow into key positions in the future, cf. The General Data Protection Regulations article 6 (1), litra f. 
            • The processing is necessary to fulfil a graduate contract with you in case you are selected for the Graduate position, cf. The General Data Protection Regulations article 6 (1), litra b.

            6. HOW DO WE SHARE YOUR PERSONAL DATA?

              We may share your personal data with: 

              • Suppliers or vendors that assist our company (e.g., consultants, IT service providers, financial institutions, law firms, license partners)
              • Other Novo Nordisk entities (e.g., Novo Nordisk affiliates in other countries). 

              To the extent suppliers or vendors are engaged to process personal data on our behalf, those third parties are data processors. Contractual arrangements are established to ensure that such data processors are only allowed to process personal data in accordance with our instructions and for our purposes and to require such data processors to establish adequate organisational and technical security measures.

              Please note that Novo Nordisk A/S will only share your personal data with the specific entities/affiliates, who are currently recruiting graduates and only in so far it is necessary for enabling the recruitment process and to fulfil the purposes listed in section 3.

              7. WHEN DO WE TRANSFER YOUR PERSONAL DATA OUTSIDE THE EU/EAA?

                Your personal data may be disclosed to other Novo Nordisk entities/affiliates to the extent required for the relevant entities/affiliates with available positions to recruit graduates in accordance with the purposes listed in section 3. 

                This means, that your personal data, if necessary, can be transferred to Novo Nordisk entities/affiliates situated in countries outside of EU (European Union)/EEA (European Economic Area). The level of data protection in certain countries outside the EU/EEA does not conform to the level of data protection for personal data currently applied and enforced within the EU/EEA. 

                We therefore use the following safeguards, as required by law, to protect your personal data in case of such transfers:  

                8. HOW LONG WILL WE KEEP YOUR PERSONAL DATA? 

                  We will keep your personal data for the following period of time: 

                  An application send by you regarding a Graduate Position in Novo Nordisk will be anonymised 6 months after the hiring process has ended.

                  If you before 6 months no longer want Novo Nordisk to store your personal data, please contact novonordiskgrc@novonordisk.com and your data will be anonymized.

                  9. WHAT ARE YOUR RIGHTS?

                    In general, you have the following rights:

                    • You can get an overview of what personal data we have about you
                    • You can get a copy of your personal data in a structured, commonly used and machine-readable format 
                    • You can get an update or correction to your personal data
                    • You can have your personal data deleted or destroyed 
                    • You can have us stop or limit processing of your personal data
                    • You can submit a complaint about how we process your personal data to a Data Protection Authority. You can find your relevant Data Protection Authority on the list here.

                    Under applicable law, there may be limits on these rights depending on the specific circumstances of the processing activity.  Contact us as described in Section 1 with questions or requests relating to these rights.
